Assets can now be added directly into TOPdesk by operators with suitable permissions (see [What Permissions Are Available](What_permissions_are_available). In doing this we need to be careful to maintain the consistency of the records and avoid duplication. The first thing to remember when finding an asset without an existing entry is that the inventory is updated at the start of each month with the previous months XMA purchases. Thus is the asset is very new it is likely not to have been included yet but **this will happen in due course** and no action is needed. In fact this information will be added semi-automatically from the XMA report so it is better to let this happen so the fields are consistent.

The second thing to remember is to check the asset type. The general rule for assets in the inventory is that they are end-user devices which hold data and are not mobile phones (which are managed differently) although there are some exceptions to this, for example some servers are included which belong to Schools. Asset types are:

-Desktops
|
|
|
|
-Laptops (including Surfaces)
|
|
|
|
-Tablets (mostly iPads but also Android devices)
|
|
|
|
-Servers
|
|
|
|
-Workstations
|
|
|
|
|
|
|
|
If the asset is older than a few months, and it is pretty clear it is of a type in scope, then it can be added to TOPdesk. Currently only certain people can do this but in time this will be rolled out to more people, just as tickets can be created by pretty much any operator.
